Hotel Bookings

All rooms are quoted in rate per room single or double use, no meals included, except for those mentioned ‘all inclusive’.

BOOKING CONDITIONS:

Deposit and Final Payment
• A one night deposit plus taxes are required to consider your reservation. The deposit will be credited to your account upon departure. All payments will be charged in US Dollars or it’s equivalency in Mexican Pesos.
• Your credit card will merely be used as a guarantee in case of No-Show.
•  B.P. Servimed will not carry out any charges, except on cancellations or changes.
• All charges will be made directly by the hotel upon arrival.

Early and Late Arrivals
• Standard check in time at hotels is 3.00pm. Should you need guaranteed occupancy before 3.00 pm, a reservation for the previous night is obligatory.
• Check out time is 1.00pm

Changes, No Shows and Cancellations
Changes 
• Up to 3 weeks before the arrival date: All changes will be subject to availability and no charges will be made.
• Between 3 weeks and 1 week before the arrival date: A USD $ 50.00 charge will be incurred if there is a reduction in the number of nights’ accommodation. All changes must be made through B.P. Servimed
• Less than 1 week before the arrival date reductions in nights’ accommodation will result in a charge of one-night for each unused night, which will be deducted from your deposit or charged to your credit card. This has to be done directly with the hotel and changes of dates will be subject to availability.

No-Shows
• Failure to check in at the hotel on your scheduled arrival date will result a in full charge of your reservation. 
• Late check in after your scheduled arrival date will result in the payment of one night and the hotel has the right to accommodate you on a space available basis for the rest of the stay.
• Early departure will be charged with an additional one-night charge plus tax.

Cancellations
• 4 weeks before the arrival date: one-night plus tax will be charged.
• From 4 weeks until arrival date: all cancellations are subject to full payment of the reservation.
• All cancellations and/or changes should be submitted to Servimed in writing.

Accommodation Terms and Conditions
• All International delegates are entitled to get the 0% VAT on hotel accommodation and consumption within the hotel.  Upon check in you will need to show a valid passport and your proof of registration.
• All accommodation will be booked on a first come, first served basis, subject to availability.
• Hotel bookings in the “all inclusive hotels” will be guaranteed until April 30, 2012. All other hotel bookings will be guaranteed until May 18, 2012. After these dates, requests will be accepted; however, hotel accommodation is subject to availability and cannot be guaranteed anymore.
• No accommodation bookings can be confirmed or guaranteed without full payment of one-night deposit.
• Special needs concerning the hotel rooms will be well considered but not guaranteed.
